Drowning in school emails? A calm system for UK parents
Somewhere between Reception and Year 6, school email becomes a part-time job. The Friday newsletter with nine dates buried in paragraph four. The trip letter that needs a form back by Tuesday. Mufti day (50p for charity), World Book Day (costume), swimming kit (Wednesdays, but not this Wednesday). Multiply by two or three children at different schools or in different classes, and the inbox becomes a minefield where missing one line means a child stood at the gate in uniform on own-clothes day.
The problem isn't that schools send too much email (though they do). It's that email is a terrible place for dates to live. A date in an email is a task waiting to be done: read it, extract it, put it on the calendar, set the reminder, tell the other parent. That extraction work lands on one person — usually the same person every time — and it never stops.
The manual system (better than nothing)
If you're doing this by hand, the least-painful version we know:
- One shared calendar for the whole family — never the school dates in one parent's personal calendar.
- Process email once, immediately. When a school email arrives, extract every date and to-do right then, or it will sit "to deal with later" forever.
- A naming convention — prefix each entry with the child's name ("Ava — swimming kit") so a glance tells you whose it is.
- A weekly sweep — ten minutes on Sunday re-reading the week ahead, because something always slipped.
This works. It also quietly assigns one parent a permanent secretarial role — which is exactly the mental load problem in miniature.
The automated system: forward it and you're done
This is the problem Less Mayhem was largely built to solve. Every family gets a private forwarding address. When a school email arrives, you forward it — that's the entire job. Then:
- The dates become calendar events — the trip, the concert, the inset day.
- The actions become to-dos with due dates — return the form, send the 50p, pack the costume.
- Each item is routed to the right child. Tell the app each child's school, class and teacher once, and "Year 3 Robins" notices get matched to your Year 3 Robin — even when the email never mentions your child by name.
- Anything the system isn't confident about lands in a review queue for a human yes/no. Nothing sketchy sneaks silently onto the family calendar.
You can go one step further and set up a Gmail filter that auto-forwards anything from the school's domain, so even the forwarding disappears. Set it up once in September; the system runs all year.
Small habits that help either way
- Both parents get the school emails. Most schools happily add a second address — ask the office. Shared inputs precede shared responsibility.
- Save the school's term-date page to the calendar at the start of each term, before the newsletters start referencing "week 3".
- Put the plan where everyone can see it. A kitchen tablet showing the family week (here's how) means the Thursday costume gets spotted on Monday — by anyone.
What good looks like
The test of a school-admin system is a quiet one: the right kit by the door on the right morning, no 21:47 panic about a form, and neither parent having to hold the newsletter in their head. The information flows from the school's outbox to the family's calendar without a human doing data entry in between. That's not a fantasy; it's a forwarding rule.
